Arranging an interview

An offered time is not a confirmed interview. Learn about proposals, changes, attendance and calendar files.

An offer is not confirmation

An employer can offer one or more times for your application and add the interview format, location or secure link, plus an expiry time. The invitation alone does not mean the interview is confirmed. A meeting is confirmed only after one specific time is accepted.

What each side can do

  • A candidate can accept one offered time, suggest alternative times, or decline the proposal with a reason.
  • An employer can create a proposal, choose the interviewer and format for its times, and accept a candidate's alternatives.
  • Declining or letting a proposal expire does not withdraw the application. If scheduling is still possible, a new proposal can be made and the history remains.

After confirmation, both sides see the same time, time zone and connection details. When rescheduling, the original confirmed meeting stays held until the new proposal is accepted. Only then is the old meeting replaced.

Times and time zones

The meeting is stored as an instant in UTC. An IANA time zone (for example, Europe/Prague) is display metadata. A local time that does not exist during a daylight-saving transition cannot be used. You must also choose an unambiguous time when a local hour occurs twice during a clock change. Check the displayed time zone and the valid start and end of the proposal.

Attendance and completion

Each participant records only their own fact: Attended or Did not attend. One participant's record is not evidence of the other's attendance. The interview becomes completed only when both participants record Attended. A missing record or a Did not attend record does not automatically mean the interview was completed.

When the job changes

When a job is paused or archived, new interview proposals and rescheduling are blocked until the system allows them again. The history and an existing commitment remain available; the panel may offer a next step such as cancellation or employer reconfirmation. A completed interview cannot be moved back to an unconfirmed state.

Calendar file and privacy

For a confirmed interview, you can request an ICS file and then download or share it manually. If a confirmed interview is later cancelled, you can request the file again when it is available. The file does not create, change or remove an event in an external calendar by itself. Import it and remove any event manually in your calendar app.

Feature availability

Proposals, acceptance and rescheduling are available according to the application, job and service status. If you do not see the controls, follow the availability state shown in the panel. Reading an existing arrangement, its history and the displayed resolution actions may remain available even when a new time cannot be scheduled.
